My boss traveled to Europe for a conference he goes to annually. It looks like I registered him for it in 2023 but forgot for 2024. He just sent me an email saying they don't have a record of him registering. Apparently that's because of me - I didn't. I am not sure how I screwed this up except that I have several bosses who all travel and keeping track of getting them registered, plus hotels, plus airfare is a lot to keep track of since they constantly change their minds about dates and whether they're going (often based on which other people are going and when).
His email says "I got to the conference and they had no record of my registration; could you please check your records?" I think I got confused because he's trying to attend two different conferences back to back in the same European city and I signed him up for one and thought it was both? I don't know. What do I respond to him? |
| Is he able to attend?! |
| Just be direct and then work like to hell to see if you can get him in. |

I sincerely apologize for the oversight regarding your registration for the conference. I take full responsibility for the confusion and inconvenience this has caused.
Upon reviewing our records, it appears that there was indeed an error in registering you for the conference. It seems there was a misunderstanding on my part, possibly due to the simultaneous scheduling of two conferences in the same city. I understand the importance of these events for your professional development, and I deeply regret any inconvenience this has caused you. I am taking immediate steps to rectify the situation by contacting the conference organizers and arranging for your registration. Please rest assured that I will implement better systems to ensure such mistakes do not happen again in the future. If there is anything else I can do to assist you with this matter, please don't hesitate to let me know. Once again, I apologize for any frustration or inconvenience this may have caused, and I appreciate your understanding. |
Damn girl you should be charging for your services! |
I always just use ChatGPT to write tough emails, or emails where I could be overly emotional. |

The suggested email is way too long right now.
Send him a quick email saying you are looking into it and see if you can get him registered asap. THEN fall on your sword if they can’t, with the bottom line up front, but taking responsibility for the error. If they can, lead with that and gloss over the mistake with some passive language. |
| I would cut that down to one paragraph. And I would reach out to the conference organizer first and get your boss in immediately. Then write and apologize for the mistake. If you can’t get your boss in, then that’s an even bigger problem. |
| With most conferences you can register on site. You won’t get the early bird discount, but oh well. Can’t he just do this? |
I just called the org and they said I can't register him retroactively and he'd have to register in person when he gets there if they're not sold out but she said they are sold out. |
Beg. Explain that he is there, with a credit card. |
| When you do tell him of your mistake, leave out all your excuses |
| and really he did not notice that he got no pre-meeting info and confirmations?? I hope it is no problem to get him in now. Good luck. |
| I would see if you can sign him up before you do anything else. |
Beg! |
