How to say it/turn down an AP candidate RSS feed

I hate to turn down an AP candidate, but I still have to do it. They have given me time and answers and yet it's not a great fit.

How do I write it and let them know but not break their pride/heart??

I'm a big softie so this kills me, but I can only hire one AP...

Many families don't tell the AP anything, but I try to let them know if we have had more than minimal contact.

Dear AP,

I'm sorry but as much as we liked you, we have decided to match with a different candidate. Good luck in your search for a family and best wishes for a fun year in America.

I always at least send a quick email if they've taken the time to email or Skype with me even once. I usually say "Thanks so much for talking with me. It was a difficult decision, but we've decided to match with another candidate. I wish all the best in finding a great host family and having a wonderful year."

It sucks, but I'm always happy I did it.

We've always sent an email similar to those posted by the PPs. Hate doing it as well, but at least email is less awkward than conversation. Most don't respond. Though I've had a few subsequently try to chat on g-chat, or find me on Facebook or LinkedIn and try to connect that way - seems a bit odd to follow up like that with someone who rejected you, but oh well!

We do the same as PPs. It's only fair to let her know. I've had APs email me back and thank me for letting me know and tell me how so many families do not do that. I know when I apply for a job, I appreciate knowing if they have selected a different candidate.
