PP, we are signed up in late July, but I think everyone should have received it. I have pasted it in below. Like you, the Calleva team is paying close attention to news & official guidance about COVID-19. We're doing our best to anticipate what the guidance will be with respect to summer camps this year, and we want to be transparent with you about our decision making. Last week, Governors Hogan & Northam indicated the roadmap to recovery will be phased, potentially beginning in mid-May. Maryland's Phase 1 measures will include a lifting of the stay-at-home order, and we view this as a good indicator that summer camps will be allowed to open in some form this June. First & Foremost: We intend to preserve camp weeks until it is absolutely clear that we must cancel. Camp Schedule: At this time, all 2020 camp weeks will remain as scheduled, but Camp will surely look different this year. We will adapt our plans as the public health situation evolves and will update parents on a regular basis, with decisions made on the following schedule: No later than May 18 -- decision about June weeks (WEEKS 1-4) -- IMPORTANT NOTE FOR JUNE: At this point, we are handling June on a week-by-week basis, so some weeks could be cancelled while others remain in some form. June 18 -- July camp weeks (WEEKS 5-8) July 18 -- August camp weeks (WEEKS 9-12) Refund Policy: As stated in our April 17 email, families who cancel camp before June 1 will receive a refund MINUS Calleva's $150 per child, per week non-refundable registration fee. We’re confident that the June 1 deadline provides adquate time for you to decide which camp weeks you would like to hold onto this summer. If you choose to stay registered beyond June 1 and Calleva is forced to cancel your 2020 camp week due to government directive, we offer the following options: OPTION A: For those who would like to stay invested in Calleva and help sustain our year-round team (the people who support summer camp all year long), there are 2 choices: Receive a refund for camp & your $150 registration fee becomes a credit in your Calleva account. Your credit can be used for 2021 camp registration OR for any of the following Calleva programs over the next 18 months: River School (kayaking, rafting), Calleva Horse Adventures, Farm & Forest Cubs, a group experience (for adults and kids!), or any Calleva farm event. Your credit will expire on September 1, 2021. NOTE: If you wish to keep your entire 2020 camp tuition as a credit in your Calleva account, we can do that. Receive a refund for camp & convert your $150 per week non-refundable deposit to a tax-deductible donation to Calleva, which is a 501c3 organization. In this case, Calleva provides you with a receipt for your tax purposes. See details about donating to Calleva in the sidebar of this letter. Families who choose to donate at least their per-camper deposit amount will receive exclusive access to 2021 Summer Camp PRE-REGISTRATION -- an opportunity to register for camp before we open next year's regular Returning Family Registration. OPTION B: For some of you, Option A might not be feasible right now. We want to honor you as valued members of our Calleva community. In OPTION B, you will receive a refund for camp tuition, and Calleva will split the non-refundable deposit with you. We will give you $75, included in the amount of your refund check & mailed to your address via USPS. In this case, you’ll receive some cash back right away and you’ll help Calleva cover fees & administrative expenses associated with camp registration. We know this is a difficult time for children and parents. We are working hard to balance Calleva's financial stability as we honor your family's needs. We are preparing for camp even as we make big adjustments to our processes and plans, and we can't wait to spend time in nature with your children! Our hope is that this summer will be a great time of recovery and restoration for us all. We will be in touch soon with more information! IMPORTANT NOTE: Calleva's Office is currently closed. If you have questions or need to discuss any of the information in this message before May 18, please use email to contact us: office@calleva.org Flip the Script on 2020 In 30 years of business, Calleva is experiencing something brand new: a crisis that threatens the foundation of our organization. Calleva is a year-round, 501c3 non-profit operation, and our revenue is based entirely on a fee-for-service model. Our spring & summer seasons are foundational to our balance sheet & reserves will quickly be depleted if we experience operational restrictions beyond June. You can help us write this story. We know that our Calleva community will come through this disruption in strength by sticking together. As we work to provide a safe, healthy & adventurous camp experience for your kids, we hope you'll consider making a donation to preserve Calleva's health. Your gift of any size can have a major impact, and -- of course -- we will provide you with a receipt for your tax purposes. Even if now is not the right time, at some point this year please consider Calleva as part of your 2020 charitable giving. We are in the process of creating a way for us to receive your donations. We will keep you posted about this option!!
