We went through this last year. In Pool notification was emailed. Cogat score comes in paper envelope. You should always parent referral anyway, provide more information in parent questionnaire, even if you don't have work samples.
When?
Last year (2023) there was a nationwide cogat testing glitch at original oct. testing date. The cogat was postponed, and in some school the actual test date was not communicated until 1 day before, there was lot of drama. So last year the cogat score and in-pool notification came out the last day of Fall semester (12/15/23). AART told every family just submit family referral regardless your child is in-pool or not. So last year wasn't a good indicator, and just sit tight.
This year’s parent referral is due 12/15 and winter break is a week later. I have a current second grader. I am almost certain for my older child, we had winter break to create work samples. I remember getting his letter after we got back from vacation. I want to say it was in our mailbox. I have a memory of rushing to mailbox after our trip. I could be getting confused with AAP acceptance letter.
Last year's family referral was also due at 12/15, the same day as in-pool notification and cogat score came out. I would not wait until cogat score to prepare family referral. You should have spent Thanksgiving break preparing for it. The AAP acceptance letter came out before/after spring break, maybe that was what you were remembering. At least last year it was sent out via email as well.
